Terms and Conditions
If you are found to be in violation of any of the terms and conditions listed, CTL will contact you and/or the appropriate authorities/moderators accordingly.
- Use of The Nest’s facilities and equipment is at the Renter’s own risk. Renter hereby waives rights to seek legal redress for mishaps, accidents, and/or loss while on our premises.
- Bookings can be canceled without penalty up to 3 days before schedule and will be subject to refunds.
- Cancellations made past this time period will only be partially refunded (50% of the total payment due).
- No-shows for the Studio and Recording Booths are not subject to refunds.
- No-shows for the Learning Space will result in a penalty of the Renters (incl. the entire unit/organization) not being able to book the venue for the remainder of the semester.
- It is the Renter’s duty to book responsibly, that is, to avoid unnecessarily booking any of the venues, especially with the intention of hoarding the venue or “booking for safety”. Renters are also expected to book the venues only for the duration needed so as to give other renters the opportunity to book as well. With this, the CTL staff may ask for clarifications for whole-day/bulk/repeating bookings and the like. The CTL staff shall have the right to inspect the venues and Renters shall make any and all arrangements necessary to permit an employee of CTL access to the venues. If the venues are not being used for their intended purpose, CTL has the right to end the booking without refund. This will also result in the Renters being barred from usage for the rest of the semester (as described in #3).
- Studios must be vacated on time. Set-up, breakdown, clean-up, and pack-up are all included in the reserved time that was scheduled and agreed to.
- No prior drop-off and/or pick-up after completion of rental of equipment, props, etc., is allowed unless negotiated at time of rental contract. Additional fees may apply. Early or extended hours must be worked out and paid for in advance before the rental period begins.
- Overtime fees will be charged by the hour and the hour starts one second after the rental period (e.g., If the rental period ends at 5:00pm, at 5:01pm, the Renter will automatically be charged for 1 hour of overtime). Overtime fees will apply should the Renter occupy the premises for longer than the duration agreed upon at the time of booking – either the Renter is still using or cleaning up the studio space, or remains on premises for any other reason.
- Renter agrees to leave the rented venue in the same condition as it was when Renter arrived. If cleaning/reorganizing/adjusting is necessary to return the venue to its original state, the Renter/s may be called back to the venue to clean up/reorganize as needed. This will also incur an Overtime fee. Otherwise, Renter/s shall pay the overtime fees of the staff who will clean up in their place. Failure to settle either type of overtime fee will result in the Renter and those in the group/organization/unit to be barred from reserving the venue until their remaining balance is settled. This rule also applies to aircon usage – leaving the aircon on after your slot will result in the penalties stated above.
- If there are any other fees unsettled from a previous reservation, the Renter and those in the group/organization/unit are to be barred from reserving the venue until their remaining balance is settled.
- CTL and/or UA&P is not responsible for any lost and/or damaged equipment brought and/or left by the Renters.
- The Renter assumes responsibility for any loss (in the amount solely determined by the CTL) or damage to the studio and equipment on the premises of the studio resulting from the Renter’s same (except for normal wear and tear).
- At no time are Renter/s to engage in any kind of unlawful activities while on the premises of The Nest. Any violations of UA&P policy within the studio during a Renter’s scheduled booking are the sole responsibility of the Renter. CTL holds the right to report violations to the appropriate authorities/moderators.
- CTL staff will have to inspect the equipment and/or venues at any time during the rental period. Renters shall make any and all arrangements necessary to permit an employee of CTL access to the equipment and/or Studio. If any equipment is found inappropriate or undeclared in the reservation form, CTL has the right to confiscate the item/s for the duration of the booking. Such items will not be allowed inside the venue.
- If a breach of any of the provisions of the Rental Contract occurs, CTL has the right to revoke your access to the equipment and/or venues without any liability to you, and without prejudice to CTL.
- The Production Team exclusively works with the CTL Office. Their participation is exclusive to projects in collaboration with CTL e.g. their services are not included in reservations of the Studio and Recording Booth.
- There is no need to reserve tables at the Learning Space – everything is on a first come, first serve basis. We also will not entertain requests to reserve tables.
- Be considerate of everyone who needs to use the space – if you’re the only one using the table and see that others need the space, please offer to share your table or your chairs.
- Avoid leaving your bags unattended for long periods of time. CTL and/or UA&P is not responsible for any lost or damaged items in the Learning Space.
- Reservations are open only for events. No fees will be charged for the use of the Learning Space for special events.
- When booking for an event, include the time it takes for ingress/setup and breakdown/cleanup in your reservation so that we can accurately inform students about the Learning Space schedule beforehand.
- Any reservations are subject to approval by the CTL. The main purpose of the Learning Space is to provide a study space for students. So that students can maximize the use of the space for studying during the day, we may decline bookings that occupy multiple whole days or that fall during busy seasons.
- Please remember to CLAYGO. Clean up your trash before you leave, and return the chairs and TVs as you found them.
- As of now, eating is allowed, though keep in mind that the main purpose of the space is for studying and holding meetings. We would like to request that messy and smelly food be avoided and that drinks are kept away from the table sockets.
- The following actions are prohibited:
- Changing clothes
- Eating and drinking
- Pinning signage, posters, etc. on the walls
- Other actions as listed in the Student Handbook
- The following items are prohibited:
- Food and drinks
- Non-alcoholic drinks are allowed as long as they are in spill-proof containers (e.g., flasks and disposable bottles). However, Renters will be held accountable for any spills that occur on the premises.
- Suggestive items or props as listed in the Student Handbook (e.g., liquor bottles, cigarettes & e-cigarettes, etc.)
- Equipment that may damage the Studio/Recording Booth (e.g., fog machine, bubble machine, etc.) – if you are unsure, send a list of equipment to the Nest for approval by the CTL. Some examples include:
- Unauthorized Adhesives & Tape – Some tapes and adhesives leave residue or damage surfaces.
- Masking/electrical tape is allowed as long as renters remove the tape and any residue before their reservation ends.
- Open Flames & Flammable Materials – Candles, lighters, matches, or anything combustible pose a fire risk.

FAQs
Bookings are a first come, first serve basis. If your desired slot is already booked, kindly look for the next best slot on The Nest Calendar.
Students and staff are allowed to book up to 2 months in advance, subject to approval by the CTL. Please note however the sections on cancellations and no-shows (See Terms and Conditions, #2-4)
No, we’re strictly following the open hours for each space.
Kindly include your set up and pack up time in your booking time slot (e.g., if your event starts at 10am and would like to start setting up at 9am, kindly make the start time of your booking at 9am so it can be reserved accordingly).
- For the Studio, there is no available equipment for rent at the moment. Kindly bring your own cameras, lights, etc.
- For the Recording Booths, the venues automatically come with their respective equipment.
The Learning Space automatically comes with 9 folding, rectangular tables and 36 chairs. Should you need more tables and chairs or different tables and chairs (e.g., circular, monobloc), kindly coordinate with the Assets and Facilities Management (AFM) Unit located at ACB 1.5. Otherwise, you may also coordinate this with your caterer. You will be in charge of coordinating the ingress and egress of such equipment, furniture, etc. with AFM. Also ensure your booking slot includes your ingress and egress time.
The rental fees are used to cover the electricity consumption and maintenance of the venues. We understand not everyone will need to use the venues at The Nest, so it would be best to only charge those that do.
In line with this, there are no “lab fees” collected for The Nest (via tuition fee), unlike other venues in the University such as the Library.
The CTL benchmarked with several local studios with similar venues and services to understand the current market rate. Then, we significantly lowered the prices to make them more student and staff friendly while still being competitive enough so that Renters take responsibility over their bookings. Kindly remember it is the Renter’s duty to book responsibly, that is, to avoid unnecessarily booking any of the venues, especially with the intention of hoarding the venue or “booking for safety”. This is also why we charge cancellation fees and do not entertain refunds for no-shows.
At the moment, no. The Nest is only open to the UA&P community.
